Ideas FAQs

Common questions about boards, ideas, voting, and the roadmap.

What is a board?

Boards are containers for grouping related ideas. You might create separate boards for different products, features, or feedback categories.

How many boards can I create?

The number of boards depends on your subscription plan:

PlanBoards
Basic1
Standard5
PremiumUnlimited

What board settings are available?

Each board has the following settings:

SettingDescription
PrivateOnly internal users can view. Requires the Privacy feature.
ArchivedHidden from default lists but data preserved.
Show on roadmapIdeas from this board appear on the public roadmap.
Allow postsCustomers can submit ideas to this board.
Allow notesComments are enabled on ideas.
Approve postsNew ideas require moderator approval before being visible.

How does the approval workflow work?

If approval is required (either in company settings or board settings), ideas follow this workflow:

  1. User submits an idea
  2. Idea starts in Pending status
  3. A Moderator or Admin approves or rejects the idea
  4. Approved ideas become visible and can receive votes and comments

If approval is not required, ideas are automatically approved on creation.

What are idea states?

Idea states help you track progress. The default states are:

StateColourShows on roadmap
OpenGreyNo
Under considerationBlueYes
PlannedPurpleYes
In developmentOrangeYes
ShippedGreenYes
ClosedRedNo

You can customise states, colours, and their order in your settings.

How does voting work?

  • Users can vote once per idea (toggle behaviour)
  • Clicking vote again removes the vote
  • Admins, Staff, Moderators, and Customers can vote
  • Readers cannot vote

What is RICE prioritisation?

RICE is a prioritisation framework using four factors:

  • Reach: Estimated users affected (1 to 1000+)
  • Impact: 1=Minimal, 2=Low, 3=Medium, 4=High, 5=Massive
  • Confidence: Percentage (20, 40, 60, 80, 100)
  • Effort: Effort in person-weeks

The priority score is calculated as: (Reach × Impact × Confidence%) / Effort

Can I merge duplicate ideas?

Yes. When you merge ideas:

  1. Select a source idea and a target idea
  2. Votes are transferred (unique voters only, no duplicates)
  3. The source idea is archived with a reference to the target
  4. Vote counts update automatically

Can comments be private?

Yes. Comments (called notes in the system) can be marked as private/internal-only. Private comments are only visible to internal users (Admins, Staff, Moderators, Readers).

What happens to rejected ideas?

Rejected ideas are hidden from public view. The author can still see their rejected idea along with the rejection reason.
